Role Description

The HR & Payroll Coordinator is responsible for delivering best-in-class HR & Payroll services with a human touch.

This role will be a combination of our Shared Services Tier 1 & Tier 2 Team.

This includes but not limited to preparing various types of communication, handling of requests and inquiries through the Employee Service Hub portal or through other channels, as well as the responsibility for administration of all aspects of operational HR tasks.

You will also be responsible for executing payroll processes in 2- 3 countries while acting as back up for any of the other countries handled in the team, if needed.

 

Role and responsibilities:

Support in the administration of maintaining our HRIS (LEO People Portal). This includes:

 

Perform HR operational and administrative tasks as required in the country, including but not limited to:

  • Draw up confirmation of employment letters for employees as requested.
  • Draw up paperwork relating to involuntary separations (severance agreements, etc.).
  • Draw up any promotion, job change, salary increases letters.

 

Maintenance of the data in our HRIS (LEO People Portal). Tasks include but not limited to:

  • Process any standard requests received from our Employee Service Hub within the specified SLA.
  • Maintain and update any changes to positions, departments, and cost centres.
  • Administer pay components for payments

 

Support managers, employees, and HRBPs with HR systems related issues:

  • Update master data related to employee changes, off-boarding, etc.
  • Create positions and organizational structures as required

 

Process support on employee On-boarding and Off-boarding:

  • Design and roll out pre-boarding program and onboarding program
  • Execute any data/compliance training
  • Conduct onboarding/welcome to LEO Pharma meetings as required locally
  • Manage any declaration/statutory reporting related to new hires

 

Execute the three phases of Payroll Runs successfully, controlled by the global Payroll Checklist. This includes:

  • PRE-Payroll
  • Control data input for payroll runs through hrX (Alight), Benefit platform, time and attendance systems and Employee Central and other local/global systems
  • Process claims
  • Perform benefit reconciliation
  • Calculate compensation, rewards, and bonuses to employees
  • Control and audit data entry of T1 and submit garnishments to our payroll vendors


Payroll run:

  • Check gross to net calculations
  • Process advance payments, negative salary, rejected payments, underpayments, overpayments etc.
  • Approve payroll calculation and checklist and submit to team lead for approval
  • Upload file in the bank if the country does not follow the global process


POST-Payroll:

  • Handle issues with Finance as part of the GL posting
  • Administer vendor agreement and SLAs/service credits
  • Execute and distribute standard reports to internal- and external stakeholders
  • Provide statistics and statutory reports to government offices, etc.


Payroll Service Enhancement:

  • Analyze the need and raise change requests for expanding/reducing/modifying the services we receive from our payroll outsourcing partners
  • Analyze, define, and submit new pay components and work schedules to T3 for implementation
  • Participate in the UAT testing of new pay components, work schedules and overall enhancements of the payroll service
  • Define payroll controls

Other:

  • Manage year end activities
  • Respond to managers’ and employees’ questions and inquiries about payroll matters and policies
  • Support Tier 1 Global HR Operations: reports, pay slips inquiries when it comes to calculations, data entry questions
  • Handle communication with the countries on service changes in the country and be service minded.
  • Additional tasks as assigned.

 

Requirements

Professional Competencies:

  • Preferably 3 years of experience within Payroll.
  • Shared Services mindset, where best practices and global process optimisation is continuously in focus.
  • Knowledge and general understanding of HR Annual Wheel processes and the ability to execute for the LEO organization in general through digital tools and processes
  • High understanding of employment law & employee relations in general, as well as GDPR and compliance concepts and practices.
  • Must be able comfortable with working in many different IT systems and finding solutions for using these to improve the daily work.
  • As a minimum Professional Working Proficiency (C1) in English is required. Preferably working proficiency in one more language, depending on the countries the Payroll Coordinator is primarily working with.
