Roles and responsibilities:

-  Manage calendars, schedule internal and external meetings for leadership team 
-    Coordinate logistics for team events, workshops, and departmental activities. 
-    Handle travel arrangements including booking flights, accommodations, and preparing itineraries in accordance with company travel policies. 
-    Support invoice processing, expense reporting, and purchasing documentation in collaboration with finance and procurement teams. 
-    Assist in onboarding processes for new hires, including coordination with HR and IT for system and equipment setup. 
-    Maintain organized and up-to-date filing systems for both physical and digital records, ensuring compliance with regulatory and company retention policies. 
-    Coordinate and support internal audits, inspections, and documentation requests related to regulatory or quality compliance. 
-    Manage inventory and supplies (Including IT equips and service, delivery, custom clearance) for the office or department, ensuring availability of necessary materials and equipment. 
-    Maintain the office and its facilities to ensure an optimal working environment for all employees
-    Serve as a point of contact for internal and external stakeholders, ensuring professional and timely communication. 
-    Support various ad hoc projects and operational tasks as required by leadership or team members.

Job specific competencies:

-   Attention to Detail: Maintains high accuracy in managing documents, meeting minutes, and scheduling while complying with regulatory standards. 
-    Communication Skills: Demonstrates excellent verbal and written communication skills, appropriate for interactions across multiple functions and with external partners. 
-    Confidentiality: Handles sensitive business and employee information with discretion and professionalism.

-    Time Management: Effectively prioritizes tasks, meets deadlines, and manages competing demands in a dynamic and fast-paced environment. 
-    Technical Proficiency: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiar with enterprise systems such as SAP, Concur, or document management tools. 
-    Compliance Awareness: Understands the importance of regulatory and data integrity requirements in a pharmaceutical setting.
