At LEO Pharma, we are global leaders in medical dermatology. We have 117 years’ experience in bringing innovation to healthcare. And we are eager to do much more. Each year, close to 100 million people have a better day because of our medicines.
In the Corporate Affairs team, we share a “challenge accepted” mindset and are guided by our winning behaviours of simplification, collaboration, and accountability, to achieve our goals.
Your Role
Due to an internal promotion, we are recruiting for an exceptional Executive Assistant to provide high-level, proactive support to the new General Manager at LEO Pharma UK. This is a highly visible and trusted role, central to the smooth and effective running of the UK affiliate.
In this role, you will deliver comprehensive executive and administrative support, while also acting as a key coordinator across the leadership team and wider business. You will combine outstanding organisational skills with sound judgement, discretion, and a continuous improvement mindset.
If you’re ready to bring structure to complexity and ensure seamless execution of key business activities, we’d love to hear from you.
Key responsibilities include:
- Providing comprehensive executive support to the General Manager, including complex diary management, meeting planning, prioritisation of commitments, and day-to-day administrative assistance.
- Acting as a trusted partner to the General Manager, anticipating needs, managing competing priorities, and helping to ensure focus on strategic business objectives.
- Serving as a central coordinator and key link between the General Manager and the wider business, enabling effective communication, alignment, and follow-through.
- Evaluating Leadership Team processes and ways of working, confidently identifying opportunities for improvement and driving solutions to enhance efficiency.
- Leading and managing ad-hoc business projects autonomously, partnering across functions and stakeholders to drive progress, ensure timely delivery, and improve business efficiency.
- Coordinating and supporting the planning and delivery of key business meetings and events, including leadership team meetings, business reviews, planning sessions, and company-wide conferences.
- Preparing agendas, organising meeting materials, ensuring accurate minutes, capturing actions, and proactively monitoring follow-up to ensure clear accountability and execution.
- Supporting the leadership team with administrative coordination and executive support, particularly in relation to meetings, business planning activities, and key organisational priorities.
- Collaborating effectively to develop and deliver high-quality internal communications on behalf of the General Manager, ensuring messaging is accurate, timely, professional, and aligned with LEO Pharma standards.
- Securing managing sensitive and confidential information with the utmost discretion, maintaining accurate management of business-critical documents and organisational information.
- Maintaining oversight of the General Managers’ budget, including tracking expenditure, processing payments, and supporting accurate financial administration.
- Coordinating travel arrangements and expense management efficiently, ensuring a seamless experience and compliance with internal policies.
- Building close professional relationships across the UK leadership team, wider international stakeholders, and external partners to facilitate smooth collaboration and effective stakeholder management.
- Continuouslyly seeking opportunities to improve processes, enhance ways of working, and applying best-practice standards in the delivery of executive and administrative support.
- Supporting engagement with external bodies and professional service providers on behalf of the General Manager as required, with professionalism and credibility.
Please note, this is a hybrid position, which requires a minimum attendance of 2 days per week, primarily Tuesdays and Wednesdays at our UK Head Office in Maidenhead, with further flexibility as required.
Your Qualifications
This role is ideal for an individual who thrives in a fast-paced, agile environment, can balance strategic priorities with excellent attention to detail, and is confident partnering with senior stakeholders across the business.
To succeed in this role, you will bring the following:
Essential
- Proven experience in a similar Executive Assistant or senior support role, with an accomplished track record of supporting senior leaders.
- Demonstrated ability to manage multiple senior-level stakeholders and projects simultaneously, both locally and globally.
- Experience supporting complex organisational projects, with the ability to work effectively through ambiguity and across multiple functions.
- Advanced proficiency in Microsoft Office, including Outlook, SharePoint, PowerPoint, Word, and Excel.
- Experience managing professional relationships with key external service providers and suppliers.
You are someone who:
- Is proactive, accountable, and results driven.
- Builds close and effective relationships easily and works in a highly collaborative and culturally aware way.
- Is highly organised, structured, and detail-oriented, while also thinking ahead and planning effectively.
- Demonstrates sound judgement, integrity, and discretion when handling sensitive or confidential information.
