Role Description

The overall objective of this position is to ensure the Veeva Cluster systems are fully operational and meets the needs, objectives and strategic imperatives of the business.  This includes functional areas within US LEO namely: Sales Operations, Commercial Field Force (TSS),  MSLs, FRMs, Sales Training, MedInfo, Marketing Operations, Market Access and Compliance functions. Veeva Systems in scope are Veeva CRM, Veeva Engage, Veeva Align, Veeva Link, Veeva Promomats, and Veeva MedComms plus Aktana’s Next Best Action (NBA) Integration

 

Role and responsibilities:

  • Veeva Cluster Systems Training and Support:

    • Ensure effective use of the Veeva systems by all new/existing levels of users; keep training materials up to date and manage attendance/training records.

    • Provide internal application support; manage/monitor external support vendors and escalate issues as appropriate.

    • Provide suggestions for alternative uses of the systems to enhance business value.

    • Support the MSL, brand, FRM, Training teams by upload materials to PromoMats as required and apply LMR changes as required.

    • Run PromoMats Reports when required.

    • Daily field force support for troubleshooting or system questions.

    • Provide training to marketing agencies on PromoMats. Support marketing teams and agencies when required to ensure materials are properly configured in PromoMats.
       

  • Veeva Cluster Responsibility:

    • Work with Global IT/Multichannel Marketing teams to ensure Veeva systems work in line with US requirements. 

    • Act as Veeva Lead to ensure team works together with Global with best practice, training and support.

    • Attend meetings as representative on various topics to improve Veeva working within Region, Global & MCM teams and to help influence the future of Veeva CRM.

    • Attend Pre-Change Advisory Board telecons to agree Change Requests for other clusters/regions to ensure harmonization throughout LEO.

    • Lead Global Changes in the CRM (including testing, training decks and meetings with global IT) when based on US requirements.

    • Provide training to other country’s CRM Leads when applicable.
       

  • Perform role of Global Veeva CRM and PromoMats Local Super User; including sample management, territory alignment, and data loader; work closely with global and suppliers on change management initiatives and proper testing of system

  • Experienced in the following Veeva Functionality: Veeva Align, Veeva CLM, Veeva Insights, Veeva Plan of Action, Veeva Engage & Dashboards/ Veeva Queries, Veeva MCCP, KAM Module, Lightning, Veeva Link.

  • Data Privacy - in line with GDPR, ensure any requests on data privacy are responded to and acted on, with liaison with the Local or Global DPO.  Ensure any Privacy Notices within CRM are up to date and processes are working.

  • Customer Database Supplier Management – ownership of relationship with customer database supplier.  Participate on OneKey Advisory Board and make recommendations for future requirements. Constant data clean-up (e.g. ensure no duplicated information).

 

  • Data Reporting and Metrics:

    • Work collaboratively with BI Partners, US LEO Commercial Functions and Stakeholders in ensuring CRM/Pro-Mats meets the needs of the business.

    • Produce reports to aid efficient use of systems, monitoring and analysis. 

    • Highlight areas for improvement.

    • Provide monthly KPI numbers for team’s reporting.

    • Run periodical target lists to ensure proper alignments and update system accordingly.

    • Establish new team’s configuration in the system and business rules as applicable.

 

  • License Management – manage licenses for Veeva CRM and PromoMats, including agencies.

  • Provide support to all users and providers (TSS, Sales Operations, MSLs, FRMs, TLLs, MOLs, Compliance, Medical Info, Training) with all systems related to Veeva, such as: NBA, MedComms, H1 Insights, Quality Vault, Crossfire, Power BI, The Den, Workbench, QPharma’s material ordering site and Practitioner Validation Support Center, Data Warehouse, Sigma, Concur, PASID, IT Support Center.

  • Additional duties as assigned by LEO Pharma Management.

  • Complete all company-based and job-related training as assigned by LEO Pharma within the required timeline.

 

Job specific competencies:

  • BA/BS required; preferably in IT or Computer Science

  • 5 plus years’ Pharma experience in Sales Operations or IT department, and 3 plus years of experience as Super User in the administration and support of various Veeva systems including CRM, Engage, Link, Promomats, MedComms, Veeva Align, etc.

  • Relevant Admin level Veeva Certification required

  • Experience with and ability to manage relationships with external suppliers required

  • A good understanding of data used in commercial functions

  • Good organizational skills

  • Exposure/familiarity with Project Management

  • Proven training and presentation skills and ability to update training documentation required. 

  • Excellent communication oral and written skills

  • Experience with and ability to liaise between different business stakeholders

  • Ability to proactively identify opportunities, follow through for resolution

  • Ability to work in cross-functional groups necessary

  • Ability to manage multiple tasks simultaneously; continuously assess prioritization of work streams based on evolving business needs, and achieve results within strict timelines

  • Expert knowledge of Microsoft Office software (Excel, PowerPoint, Access)

  • Occasional travel and overnight stays will be required.

  • Must be able to perform all essential functions of the position, with or without reasonable accommodation.
